We are a service company in the laboratory sector with around 20 employees and are looking for suitable software that will make it easier for us to maintain our customer contacts and simplify our invoicing.

Certain services are provided, but these are not invoiced over time, but over various services. There is no movement of goods, no online trade and no goods management, etc.

The software should fulfill or support the following requirements:

At least import data from Excel and Access, better link bidirectionally with existing Access database (customer data, price list)

Customers:

  • Management of customer data
  • Assignment of customer numbers (but not for all customers)
  • Integration of internal order numbers
  • Differentiation between corporate and private customers
  • Differentiation between billing and delivery address

Services:

  • Letter abbreviation for service type (no number)
  • Summary of different services in service groups

Invoices:

  • Invoices in Word and as pdf
  • Assignment of invoice numbers (preferably according to the 2015-xxx model)
  • Invoices with and without VAT
  • Create subtotals
  • Individual invoice, collective invoice
  • Discounts (very important):
    • Customer-related discounts (certain customers automatically receive a discount)
    • Automated different discounts when different order volumes are reached (e.g. 2% discount from € 500)
    • Automates various annual discounts when a certain order volume is reached
  • Surcharges (very important):
    • Certain percentage surcharges for certain services (e.g. something like percentage rush surcharges)
  • Credit notes
  • Multi-stage “automated” dunning process (reminder function)
  • Automatic recording of the number of orders and order volume per customer per year, if required

Statistical evaluations of your choice:

  • Turnover per customer
  • Open invoices
  • Determination of annual discounts per customer
  • etc.

Miscellaneous:

  • Online banking not necessary
  • Link with Outlook would be good
  • If necessary, individual customization of the software by the provider

The application is planned for approx. 1-3 software workstations.
